The hidden cost of re-keyed data — and why moving the fact once changes the math.

In any operation that spans more than one company, there's a fact that starts in one place and has to end up in several. A purchase order number. A delivery window. An authorization status. It gets entered once — then typed again, and again, by people who can't see the first entry. Re-keying is one of the quietest, most expensive habits in multi-party work, precisely because no single person ever sees the whole cost.

The same fact, three keyboards

Picture one shipment, case, or order moving between parties. The first side books it and records the details in its own system. The next party can't reach into that system, so someone reads the number off an email or a PDF and types it into theirs. A third party, further down the line, does the same again. The fact hasn't changed — but it now lives in three databases, entered by three sets of hands, each one an opportunity to transpose a digit or drop a line.

Nobody chose this. It's just what happens when systems of record can't talk to each other and people are left to carry facts across the gap by hand.

Where the leak actually is

It's tempting to wave this off as a few minutes of data entry. But the typing is the smallest part of the cost. The real leak is threefold:

  • Time — not just the keystrokes, but the reconciling. Someone has to find the source, read it, enter it, and later confirm it matches. Multiply that by every fact, every party, every day.
  • Accuracy — a single transposed number turns into a mis-routed order, a rejected claim, or a delivery that shows up at the wrong dock. The error is cheap to make and expensive to unwind, and it usually surfaces far downstream from where it was typed.
  • Trust — when two systems hold the same field and the values disagree, no one knows which is right without a phone call. Every disagreement chips away at the confidence each party has in the others' data, until people stop trusting the systems and start "just checking" manually — which is the very work the systems were supposed to remove.

None of these show up as a line item. They're absorbed into headcount, into "that's just how it works," into the low hum of exceptions that a coordinator spends the day chasing. That's what makes re-keying so durable: it's a real cost that never gets a real invoice.

The obvious instinct is to build one big system everyone logs into. But that just relocates the problem: now every party re-keys into the shared system on top of their own, and no one wants their commercial records living inside software a customer or competitor controls.
